CASE 01 / AI AUTOMATION & FIELD SERVICE
HOW AI TRANSFORMED
REPORTING AND FIELD SERVICE OPERATIONS.
WeMindd connected booking, customer information, field input, AI-supported reporting, human review and administration around the way a building inspector actually works.
From fragmented information and evening reporting to one connected field service workflow.

THE CASE
A COMPLETE PROCESS BUILT AROUND THE
PROFESSIONAL IN THE FIELD.
Gewoon Koen performs visual building inspections and creates detailed reports for buyers, real estate agents and mortgage providers.
The inspection itself was only one part of the working day. Reporting, photographs, customer details, planning, invoices, payment follow-up and constant interruptions created a second job after the fieldwork was finished.

THE ORIGINAL PROBLEM
THE INSPECTION WAS NOT THE PROBLEM.
EVERYTHING AFTER IT WAS.
After several inspections, 37 report sections still had to be completed. Observations had to be reconstructed, photographs found, repair costs estimated and every line turned into a credible professional report.
Then came the administration: customer details, appointment changes, invoices, payment follow-up, email and planning. The work was spread across separate tools and separate moments.

THE PRINCIPLE
"AI ON TOP OF CHAOS MOSTLY CREATES FASTER CHAOS."
The first step was not AI.
Before AI could contribute reliably, the underlying process needed clear information, clear actions and clear ownership. WeMindd first connected booking, customer administration, invoicing, email and report preparation.
A single source of truth did not mean forcing everything into one database. It meant making it unambiguous which information was current, where it belonged and how it should move through the process.

FIRST, GET THE BASICS RIGHT
ONE BOOKING STARTS THE
WHOLE PROCESS.
A customer books an inspection online. Koen accepts the moment or proposes another. Confirmation, customer data and invoicing are prepared automatically.
When reporting begins, the relevant customer and property information is already in place. The customer receives a message when the report is ready and can access it after payment.

THE AI REPORTING WORKFLOW
CAPTURE IT ONCE.
STRUCTURE IT AUTOMATICALLY.
During the inspection, photographs and spoken observations are added to the relevant report section. AI prepares clean report lines using the established reporting structure.

HUMAN IN THE LOOP
AI PREPARES. THE PROFESSIONAL
REMAINS RESPONSIBLE.
AI is used for the heavy preparation, not for blind decision-making. Koen checks every report, applies professional nuance and remains responsible for the final result.
This division of labour matters: the system handles repetition and structure; the inspector handles judgment, exceptions and accountability.
THE RESULT
FROM ADMINISTRATION TO PEACE OF MIND.
The first automation round saved approximately one hour per day by reducing calls, administration, invoice work and searching for information.
With AI-supported reporting added, the estimated total saving rose to around four hours per day. Some reports could be completed after approximately fifteen minutes of human review.
The most important result was not only higher capacity. It was fewer interruptions, fewer evenings behind the laptop and more time for the professional work itself.
